File Link AI — Privacy Policy

File Link AI ("the add-on", "we", "us") is a Google Workspace Add-on that helps you view, organise and save attachments and links from your Gmail threads. This policy explains what data the add-on accesses, how it is used, and your choices.
1. Information we access
When you open an email thread with the add-on active, File Link AI reads:
- Attachment names, sizes and types in that thread
- Links contained in the message bodies of that thread
- Sender names and message dates
- The email subject line, used to suggest project names
The add-on only accesses the thread you currently have open. It does not scan, index, or read your wider inbox.
Google OAuth scopes used:
.../auth/gmail.addons.current.message.readonly — to display attachments and links from the currently active email thread
.../auth/gmail.addons.execute — to run as a Gmail add-on
.../auth/drive.file — to save files to your Google Drive into folders created by the add-on
.../auth/script.external_request — to securely communicate with Anthropic's AI API for optional Pro features including AI file chat and document summaries
2. How we use it
- Displaying files and links in the add-on sidebar.
- Saving files to your Google Drive when you choose to, into folders the add-on creates on your behalf.
- Organising files by project, stored in your account's add-on preferences.
- AI summaries (Pro): filenames and project context are sent to Anthropic's API to generate document descriptions. File contents are not sent for this feature.
- AI file chat (Pro and free tier): when you ask a question about a file using the "Ask AI" feature, the contents of that file are sent to Anthropic's API to generate your answer. This only occurs when you explicitly click "Ask AI" and submit a question. You are always in control of when this happens.
3. Data storage
The add-on stores small amounts of preference data (project names, keywords, viewed-file markers, Drive folder references) using Google's PropertiesService, which is tied to your Google account and not accessible to us or third parties. We do not operate our own servers or databases, and we do not store copies of your files or emails.
4. Third-party services
File Link AI uses Anthropic's API to power two optional AI features:
- AI summaries — filenames and project context are sent to Anthropic to generate a plain-English description of what a file likely contains. File contents are not sent for this feature.
- AI file chat — when you click "Ask AI" and submit a question about a file, the contents of that file are sent to Anthropic's API to generate your answer. This only happens when you explicitly activate it. You control when file contents are shared.

5. Data sharing
We do not sell, rent, or share your data with any third party for advertising or marketing. The add-on does not contain advertising or tracking.
6. Google API Services User Data Policy (Limited Use)
File Link AI's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
7. Your choices
- You can remove the add-on at any time from Gmail settings, which revokes its access.
- You can revoke access directly at myaccount.google.com/permissions.
- Files saved to your Drive remain yours and are unaffected by removing the add-on.
- AI file chat only sends file contents when you explicitly click "Ask AI" and submit a question. You are always in control of when file contents are shared with Anthropic's API.
- AI summaries never send file contents — only filenames and project context.
8. Data protection mechanisms
- Minimal data access — the add-on only reads the email thread currently open.
- No server-side storage — we do not store your email content, file contents or personal data on our servers.
- Encrypted transmission — all data transmitted to Anthropic's API is sent over HTTPS/TLS encrypted connections.
- Least-privilege scopes — the add-on requests only the minimum OAuth scopes necessary to function.
- User-controlled AI — file contents are only sent to Anthropic when you explicitly activate the "Ask AI" feature. AI summaries send only filenames. You are always in control.
- No AI training — data sent to Anthropic is never used to train AI models.
- Revoke anytime — remove access at myaccount.google.com/permissions at any time.
9. AI/ML model training disclosure
File Link AI does not use any data obtained through Google Workspace APIs to develop, improve, or train generalised AI or machine learning models. Data sent to Anthropic's API — whether filenames, project context, or file contents via AI file chat — is processed solely to generate the output requested by the user and is never used for model training by either File Link AI or Anthropic.
